Va  Va  Bloom – Wedding Terms & Conditions

1. Overview

By paying a non-refundable booking fee, you (“the Client”) are entering into a service contract with Va  Va  Bloom (Emily) and agreeing to these Terms & Conditions. All services provided are delivered under UK law.

Va Va Bloom is a design-led floral studio. When you book, you hand over creative control: you choose your colour palette, and I select blooms and arrangements that best reflect your brief, style, season, and chosen package.


2. Packages & Minimum Spend

Va Va Bloom offers two distinct floral service packages. Both are subject to minimum spend thresholds and require Clients to hand over full creative control regarding floral selection and design. Only colour palette preferences and package choice are set by the Client. All flowers are selected seasonally and styled in Va Va Bloom’s signature aesthetic.

2.1 The Core Edit

  • Minimum Spend: £650 for 2025 / £700 for 2026

  • What’s Included: A focused set of personal florals

  • Design Input: Client chooses from a set of curated colour palettes; all flower varieties, foliage and design details are selected by Va Va Bloom.

  • Delivery or Collection:

    • Collection from BS6 the day before the wedding is included.

    • Morning-of-wedding delivery available for an additional fee.

  • Customisation: Add-ons and premium blooms (e.g. peonies or hydrangea) can be added by agreement, subject to availability and cost.

2.2 The Signature Experience

  • Minimum Spend: £1,500 for 2025 / £1750 for 2026

  • What’s Included: A full-service, creative floral design experience, including:

    • On-site floral installations for ceremony and reception

    • Premium flowers and larger-scale statement pieces (e.g. arches, ceiling florals)

    • Multiple consultations, custom design planning, delivery, and set-up

  • Design Input: The Client provides colour preferences and general inspiration; all creative and floral decisions are made by Va Va Bloom, in alignment with the agreed mood and style.

  • Customisation: Designs are tailored to your venue and aesthetic, and all materials used are subject to availability and seasonal variation.

  • Delivery & Set-up: Handled exclusively by the Va Va Bloom team on the day, with associated charges included in the quote unless otherwise agreed.

3. Communication & Working Hours

  • Va Va Bloom’s primary working days are Thursday to Saturday.

  • Emails are checked intermittently on other days, but responses may be delayed outside working hours.

  • During wedding weeks, response times may be slower, as full focus is given to that week’s event—your day will receive the same care and attention.

  • All communication must be via email:

    • This ensures all details, decisions, and requests are kept in one place.

    • Va Va Bloom will not respond to or track messages via WhatsApp, Instagram, Facebook, or text.

    • Messages sent via social media or informal channels may be missed and are not considered part of your booking communication.

4. Payments, Changes & Cancellations

4.1 Booking & Final Payment

  • A non-refundable booking fee of 25% is required to secure your wedding date.

  • No work will commence, and no date will be held, until the booking fee is paid and written confirmation is received.

  • The remaining balance is due in full no later than 4 weeks before your wedding date.

  • Late payments may result in cancellation of services with no refund of any previous payments.

4.2 Price Variations

  • Floral prices fluctuate due to market conditions (e.g. fuel, weather, supplier shortages).

  • If the total wholesale cost of your flowers increases by more than 10% from the time of your quote to your wedding date:

    • You will be given the choice to either accept the additional cost or adjust your floral content to stay within the original budget.

  • Conversely, if wholesale prices drop by more than 10%, your final invoice will be adjusted down accordingly.

4.3 Cancellations

  • The booking fee is non-refundable in all cases.

  • Cancellations must be submitted in writing and acknowledged by Va Va Bloom.

  • The following cancellation charges apply depending on how far in advance the cancellation occurs:

  • These charges reflect not only materials and ordering commitments, but also the significant time spent on design planning, consultations, and communication up to that point.

  • Once your date is secured with a booking fee, other weddings and events are turned away, which represents a loss of income if your booking is cancelled.

  • If full payment has already been made, no refund will be issued for cancellations made less than 4 weeks before the event.

4.4 Date Changes

  • Date changes are permitted once only, subject to Va Va Bloom’s availability and approval.

  • The new date must be within 12 months of the original.

  • If the new date is unavailable or requires substantially increased costs (e.g. peak season rates), this will be treated as a cancellation.

  • Va Va Bloom reserves the right to request the remaining balance be paid on the original wedding date in the case of a date change, depending on scheduling and supplier commitments.

4.5 Quote Revisions

  • Your initial quote is based on your consultation and chosen package.

  • One revision is included after your final consultation (typically 4–6 weeks before the wedding). This allows for final guest numbers or small updates.

  • Any additional quote revisions beyond this will be charged at £50 per revision, and Va Va Bloom reserves the right to limit the number of further changes.

  • Excessive changes (e.g. frequent additions/removals, shifting design direction) may require a reassessment of your booking or a full redesign quote at our discretion.

5. Floral Design & Substitutions

  • Flowers are seasonal and natural: exact stems cannot be guaranteed.

  • I always work to your chosen palette and style, but may substitute blooms based on freshness, quality, or availability.

  • Refunds will not be issued for floral substitutions or minor variations in colour or size.


6. Delivery, Setup & Client Responsibilities

  • A delivery and setup plan is created with you and/or your venue.

  • Incorrect or incomplete delivery info may delay service.

  • Once florals are delivered or handed over, Va Va Bloom is no longer responsible for damage, wilting, or any mishandling.

  • If your wedding overruns and prevents us from leaving on time, an additional fee of £40/hour per staff member will be charged. This will be invoiced post your wedding and due payment within 7 days of the invoice date.

  • If Va Va Bloom is required to return for a room turnaround, this will be invoiced separately (£250+ depending on scale) post your wedding and due payment within 7 days of the invoice date.


7. Hired Items & Client Property

  • Hired items (e.g. arch frames, vessels) remain Va Va Bloom property and must be returned in good condition.

  • Any damage, breakage or loss will be charged at full retail value.

  • You are encouraged to take your florals home, but not the containers or props unless agreed in advance.

  • If you provide items (e.g. vases, signage), you accept full responsibility for their condition and safety. Va Va Bloom cannot be held liable for damage caused to or by client-provided items.


8. Weather & Floral Condition

  • Extreme weather (e.g. heat, wind, rain) may affect flower longevity.

  • Outdoor installations may be moved, adjusted or omitted based on weather safety.

  • No refunds will be issued due to weather-related changes or flower wilting after setup.


9. Photography & Image Use

  • Va Va Bloom reserves the right to photograph your wedding florals for portfolio and marketing use.

  • Any shared images will be used tastefully and with credit to your photographer if applicable.

  • Please credit @Va_Va_Bloom if posting images featuring our work.


10. Complaints, Disputes & Compassionate Exceptions

  • This contract is governed by the laws of England and Wales, and any disputes will be resolved exclusively in the English courts.

  • If you have concerns about the quality or standard of flowers or arrangements, you must raise them on the day of the wedding.

  • Va Va Bloom reserves the right to correct any issues on the day, without prejudice.

  • Due to the perishable nature of flowers, complaints made after the event cannot be accepted.

  • You will be given care guidance upon delivery (e.g. keeping bouquets in water, avoiding heat), and Va Va Bloom cannot be held responsible for damage caused by weather, mishandling, or lack of care after handover.

10.1 Compassionate Exceptions

  • In exceptional circumstances (e.g. serious illness, family bereavement), cancellation terms may be reassessed on a case-by-case basis at the sole discretion of Va Va Bloom.

  • While the non-refundable booking fee will still apply, some or all cancellation charges may be reduced or waived, depending on the timing and situation.

  • Supporting documentation (e.g. medical certificate, registrar notice) may be requested, and decisions will be handled with discretion and compassion.


11. Force Majeure

Va Va Bloom shall not be liable for any delay or failure to perform obligations under this agreement if such delay or failure results from circumstances beyond reasonable control, including but not limited to:

  • Acts of God (e.g. storms, floods, fire)

  • Pandemic-related restrictions

  • War, terrorism, or civil unrest

  • Government actions or local authority restrictions

  • National strikes, supplier failure, or transport issues

  • Serious illness or injury affecting key personnel

In such cases:

  • Va Va Bloom will notify the Client as soon as reasonably possible.

  • Every effort will be made to fulfil the booking, including sourcing freelance or third-party assistance.

  • If services cannot be delivered due to force majeure and the event cannot be rescheduled, the Client remains liable for:

    • The original non-refundable booking fee, and

    • Any costs already incurred (e.g. flowers ordered, staff booked, materials sourced)

No further liability shall be held by Va Va Bloom for any losses arising from the inability to deliver services due to such force majeure events.


12. Acceptance

By paying your booking fee, you confirm:

  • You’ve read and agree to these Terms & Conditions

  • You understand and accept the creative nature of our floral service

  • You’re happy for us to do what we do best—make your day beautiful.
